Cash Rent Payments With the Proof Attached

Rent checks are simple until someone needs to prove what was paid, which parcel it covered, or when the next split is due.

On a busy farm, that detail can end up in three places: the lease folder, the bank account, and the head of the person who writes the checks. That works until a landlord calls, a renewal comes up, or someone else has to step in.

Start with the payment record

For one landlord payment, write down:

• Landlord name and contact.
• Farm, parcel, or lease name.
• Amount due and amount paid.
• Due date, payment date, and payment method.
• Receipt, check image, ACH confirmation, or bank proof.
• Lease note, split schedule, or renewal date.
• Person who owns the next follow-up.

The record does not need to be fancy. It needs to answer the question someone will ask later: did we pay, what did it cover, and where is the proof?

Why a spreadsheet still leaves gaps

A spreadsheet can list due dates. A calendar can remind one person. A bank line can show money moved. None of those, by itself, tells the whole story.

The useful farm record ties the payment to the landlord, parcel, lease, proof, and next date. That is the part that keeps the office from searching through folders and text messages during planting, harvest, tax season, or renewal talks.
